We were approached by an insurance brokerage agency. They needed to track a set of customers insured as part of a professional association. Each year, they must generate a letter to the association's members, outlining the renewal terms for mandatory and optional coverage required by government regulation. As members return the letters with selected options, the agency
- enters the information;
- calculates the premium;
- generates a "certificate of insurance";
- generates a spread sheet report of commissions, payments and underwriter remissions;
- generates a confirming letter/invoice for the client.

Prior to our intervention, the agency's personnel did each operation for every client in a sequential manner.

 

We made the following changes:
- created an Excel database for storing client data;
- set up the list manager to ease data input, using data validation to reduce errors;
- calculated all premiums, rebates and underwriter payments from existing data and a set of business rules;
- created documents in Word and Excel that merged information from the Excel data base.

Now, the agency can enter data from clients at a convenient time, and generate all needed forms automatically, including mailing labels or envelopes. And our design makes it easy to change premium rates, deductibles and other terms as needed.

The client reports that this change reduced time spent on the process by over 80%, and implemented the same system for another insurance program covering businesses in five provinces.
